AI lead automations for small law firms

Someone who was just in a car accident, served with divorce papers or charged with a crime usually calls several firms, and often hires the first one that gets back to them. In Clio's 2024 Legal Trends Report secret-shopper study, nearly half of the 500 firms tested couldn't be reached by phone at all. These recipes make sure every new inquiry hears back in minutes, even when you're in court.

Sound familiar?

  • You're in court or a client meeting when a new prospect calls
  • Callers hang up without leaving a voicemail and call the next firm
  • Website intake forms sit in an inbox overnight or over the weekend
  • Consultations get booked, then no-show or never sign

6 recipes on this page

  1. Missed-call text-back
  2. Reply to intake forms in under a minute
  3. After-hours and overflow intake (AI receptionist)
  4. Consultation reminders by text
  5. Consulted but didn't sign: day 1 / 3 / 7 follow-up
  6. Google review request when a matter closes

These recipes only collect contact details, the type of matter and a good time to call. Keep case facts out of plain SMS and out of AI tools, have the AI never give legal advice, and check your state bar's rules on advertising, client communications and testimonials before you turn anything on. Practice-management and intake tools like Clio Grow, Lawmatics and MyCase can usually send new-lead emails or webhooks into the same workflows (their pricing isn't listed here).

Missed-call text-back

⏱ Setup: 1-2 hours📶 Beginner

The problem

You're in a hearing and a new prospect calls. They don't leave a voicemail. Ten minutes later they're talking to another firm.

How it works

  1. Get a Twilio phone number and set it to forward calls to your office line or cell.
  2. If nobody answers within ~20 seconds, Twilio tells the n8n workflow the call was missed.
  3. The workflow texts the caller within seconds: sorry we missed you, what type of matter is it and when's a good time to call?
  4. When they reply, AI writes a short, friendly answer (no legal advice) and you get an email alert with their number and message.
  5. You or your intake person call back, already knowing the practice area, and run your conflict check before discussing details.
Realistic monthly cost≈ $9.41 + €20/mo

Reply to intake forms in under a minute

⏱ Setup: 1 hour📶 Beginner

The problem

Someone fills out 'Request a free consultation' on your site Friday night. Nobody sees it until Monday. By then they've signed with a firm that called them Saturday.

How it works

  1. Point your website contact form (or new-lead emails from your intake tool or legal directories) at the n8n webhook URL.
  2. The workflow reads the lead's name, phone, email and short description.
  3. AI writes a reply that names the type of matter, offers your consultation booking link and gives no legal advice.
  4. It's sent as a text and an email within a minute, and you get an alert so a person can call back.
Realistic monthly cost≈ $4.25 + €20/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~100 text segments sent + received$0.83
  • carrier fees on ~50 outbound texts$0.25
  • ~50 AI-written replies$0.02
  • Automation platform (or self-host n8n free)€20
  • Calendly free booking link (one event type)$0

Assumes ~50 form leads a month. Uses the same Twilio number as the missed-call recipe. Any booking link works; Calendly's free plan covers one consultation type. Prices are list prices checked 2026-10-26; see every source.

Plus one-time texting registration (A2P 10DLC): about $19.50 (low-volume brand + campaign vetting). Source

After-hours and overflow intake (AI receptionist)

⏱ Setup: 1-3 hours📶 Beginner

The problem

Arrests, accidents and family emergencies happen at night and on weekends. Voicemail at 11pm Saturday loses the prospect who needed a lawyer right now.

How it works

  1. Pick an AI answering service from our comparison (most have free trials).
  2. Give it your practice areas, the matters you don't take, a short intake script (name, phone, type of matter, how they heard about you) and what never to say (no legal advice, no fee quotes, no promises).
  3. Forward your line to it after hours, or when nobody picks up during the day.
  4. It answers, collects the basics, and texts or emails you a summary. Urgent matters (someone in custody, a court date tomorrow) get routed to the on-call attorney's phone.
Realistic monthly cost≈ $150/mo
How we got this number
  • Smith.ai AI Receptionist Pro (75 calls)$150

Example uses Smith.ai's AI Receptionist Pro plan. See the AI receptionist comparison for 9 options from $24.95/mo. Ask any vendor how call recordings and transcripts are stored before forwarding client calls. Prices are list prices checked 2026-10-26; see every source.

Consultation reminders by text

⏱ Setup: 1-2 hours📶 Intermediate

The problem

A prospect books a consultation, then forgets or gets cold feet. You blocked an hour and nobody shows.

How it works

  1. Log each booked consultation (name, phone, date, time) in a Google Sheet, by hand or from your booking tool's notification emails.
  2. Every morning, the workflow texts everyone with a consultation tomorrow: a reminder with the time, address or video link, and what to bring.
  3. Replies like 'reschedule' or 'can't make it' alert your intake person so they can rebook the slot.
  4. STOP replies are honored automatically by Twilio.
Realistic monthly cost≈ $3.85/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~60 text segments sent + received$0.50
  • carrier fees on ~40 outbound texts$0.20
  • Google Sheets consultation log$0

Assumes ~40 consultations a month. Runs on the same n8n plan and Twilio number as the other recipes. Prices are list prices checked 2026-10-26; see every source.

Consulted but didn't sign: day 1 / 3 / 7 follow-up

⏱ Setup: 2-3 hours📶 Intermediate

The problem

You had a good consultation and sent the engagement letter. Then silence. Most people are just busy or nervous, but nobody has time to chase.

How it works

  1. When you mark a consultation 'engagement letter sent' (a row in Google Sheets or a CRM deal stage), the sequence starts.
  2. Day 1: thank-you text with a link to the engagement letter and a direct line for questions.
  3. Day 3: 'Any questions about next steps or fees? Happy to set up a quick call.'
  4. Day 7: a friendly last check-in. Any reply stops the sequence and alerts you.
  5. If they hire someone else or say no, mark it closed so the sequence never texts them again.
Realistic monthly cost≈ $4.28 + €20/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~100 text segments sent + received$0.83
  • carrier fees on ~60 outbound texts$0.30
  • Automation platform (or self-host n8n free)€20
  • HubSpot free CRM (optional)$0

Assumes ~20 unsigned consultations a month x 3 messages. Only follow up with people who contacted you first, and stop as soon as anyone asks you to. Prices are list prices checked 2026-10-26; see every source.

Plus one-time texting registration (A2P 10DLC): about $19.50 (low-volume brand + campaign vetting). Source

Google review request when a matter closes

⏱ Setup: 45 minutes📶 Beginner

The problem

You got a great result and the client was grateful, but they never left a review. The firm down the street with 300 reviews gets the calls.

How it works

  1. When a matter is marked closed (or the final invoice is paid), trigger the workflow.
  2. Wait a day, then text: 'Thank you for trusting us. Would you share a quick review?' with your Google review link.
  3. If they reply with a concern, it alerts you instead, so you can call them first.
  4. Check your state bar's rules on testimonials and reviews before you start, and never offer anything in exchange for a review.
Realistic monthly cost≈ $3.58/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~40 text segments sent + received$0.33
  • carrier fees on ~20 outbound texts$0.10
  • Google Business Profile$0

Assumes ~20 closed matters a month. Runs on the same n8n plan and Twilio number as the other recipes, so the extra cost is mostly texts. Prices are list prices checked 2026-10-26; see every source.
