6 recipes on this page

  1. Missed-call text-back
  2. Reply to web form leads in under a minute
  3. After-hours emergency answering (AI receptionist)
  4. Estimate follow-up: day 0 / 1 / 3 / 7
  5. Google review request after the job
  6. Seasonal reactivation of old customers

Works with any phone setup: you keep your number and forward unanswered calls to a Twilio number, or use a new Twilio number on your ads and Google Business Profile. If you use field-service software, it can feed the same workflows: Jobber emails you each new request (all admin users by default, or whoever you set as the requests reply-to) and offers webhooks through its developer API; Housecall Pro emails and texts you when a customer books online, and its webhooks (MAX plan only) include a lead.created event; ServiceTitan's Scheduling Pro add-on has a webhook that fires when a customer completes a booking (currently a private preview for specific accounts). Their pricing isn't listed here.

Missed-call text-back

⏱ Setup: 1-2 hours📶 Beginner

The problem

You're elbow-deep in a water heater and miss a call. The caller doesn't leave a voicemail. They call the next plumber.

How it works

  1. Get a Twilio phone number and set it to forward calls to your cell.
  2. If you don't answer within ~20 seconds, Twilio tells the n8n workflow the call was missed.
  3. The workflow texts the caller within seconds: 'Sorry we missed you, what's going on?'
  4. When they reply, AI writes a short, friendly answer and you get an email alert with their number and message.
  5. You call back when you're free, already knowing what the job is.
Realistic monthly cost≈ $8.73 + €20/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~200 text segments sent + received$1.66

  • ~150 inbound call minutes$1.28
  • ~150 minutes forwarded to your cell$2.10
  • ~100 AI-written replies$0.04
  • Automation platform (or self-host n8n free)€20

Assumes ~100 missed calls a month. n8n Cloud Starter is billed in euros; self-hosting n8n removes that line. Prices are list prices checked 2026-10-26; see every source.

Reply to web form leads in under a minute

⏱ Setup: 1 hour📶 Beginner

The problem

Someone fills out 'Request service' on your site at 9pm. You see it the next morning. By then they've booked someone else.

How it works

  1. Point your website form (or Angi/Thumbtack email notifications) at the n8n webhook URL.
  2. The workflow reads the lead's name, phone, and problem.
  3. AI writes a reply that mentions their specific problem.
  4. It's sent as a text and an email within a minute, and you get an alert.
Realistic monthly cost≈ $4.47 + €20/mo
How we got this number

After-hours emergency answering (AI receptionist)

⏱ Setup: 1-3 hours📶 Beginner

The problem

Emergencies don't wait for business hours. Voicemail at 2am loses the highest-value jobs you get.

How it works

  1. Pick an AI answering service from our comparison (Rosie and Dialzara offer 7-day free trials; Upfirst offers 14 days).
  2. Give it your service area, emergency rules ('active leak = page the on-call tech'), and what not to promise.
  3. Forward your line to it after hours (or when you don't answer).
  4. It answers, collects address and problem, and texts or emails you a summary. True emergencies get routed to your on-call phone.
Realistic monthly cost≈ $49/mo
How we got this number
  • Rosie Professional (250 min)$49

Example uses Rosie's entry plan. See the AI receptionist comparison for 9 options from $24.95/mo. Prices are list prices checked 2026-10-26; see every source.

Estimate follow-up: day 0 / 1 / 3 / 7

⏱ Setup: 2-3 hours📶 Intermediate

The problem

You send a $6,000 furnace estimate and never hear back. A friendly nudge often gets a reply, but nobody has time to chase.

How it works

  1. When you mark an estimate 'sent' (a row in Google Sheets or a CRM deal stage), the sequence starts.
  2. Day 0: thank-you text with the estimate link.
  3. Day 1: 'Any questions? Happy to walk you through options.'
  4. Day 3: a short note on financing or maintenance plans, if you offer them.
  5. Day 7: a friendly last check-in. Any reply stops the sequence and alerts you.

Google review request after the job

⏱ Setup: 45 minutes📶 Beginner

The problem

You did great work, the customer was thrilled, and they never leave a review. Your competitor with 400 reviews gets the calls.

How it works

  1. When a job is marked complete (or an invoice is paid), trigger the workflow.
  2. Wait 2 hours, then text: 'Thanks for choosing us! Would you leave a quick review?' with your Google review link.
  3. If they reply with a problem, it alerts you instead, so you can fix it first.
Realistic monthly cost≈ $4.23/mo
How we got this number
  • Twilio local number$1.15
  • Texting registration (A2P 10DLC) monthly fee$2
  • ~100 text segments sent + received$0.83
  • carrier fees on ~50 outbound texts$0.25
  • Google Business Profile$0

Runs on the same n8n plan and Twilio number as the other recipes, so the extra cost is mostly texts. Prices are list prices checked 2026-10-26; see every source.

Seasonal reactivation of old customers

⏱ Setup: 2 hours📶 Intermediate

The problem

Hundreds of past customers who'd book an AC tune-up in May if someone just asked.

How it works

  1. Export past customers (name, phone, last service date) into a Google Sheet.
  2. Each spring and fall, the workflow texts the ones you haven't seen in 10+ months: 'Time for your tune-up? Reply YES for a time.'
  3. Replies of YES alert you. STOP replies are honored automatically by Twilio.
Realistic monthly cost≈ $9.77/mo

  • Texting registration (A2P 10DLC) monthly fee$2
  • ~600 text segments sent + received$4.98

  • ~300 AI-written replies$0.14

Assumes 300 past customers texted once in a campaign month. Only text customers who gave consent. Prices are list prices checked 2026-10-26; see every source.
